Privacy Statement

Notice: We provide our Privacy Statement on this page of the website, and maintain it regularly. We will continue to honor any previous directions you have provided to us. You do not need to contact us again on this matter unless you wish to update your choices.

Our Privacy Principles:

We do not sell customer information.

We do not provide customer information to persons or organizations outside of our relationship with your insurance underwriters with whom you have a contractual relationship. 

We require any person or organization (including field inspectors) who have access to your information, or who collect information, to protect the confidentiality of customer information. 

We do not share customer information with anyone unless you expressly authorize it, or unless it is permitted or required by law, or unless your insurance policy contract permits us to do so.

We afford prospective and former customers the same protections as existing customers with respect to the use of personal information.

Protecting Your Privacy

We recognize that protecting privacy is one of the fundamental responsibilities we have to our customers, potential customers, and the entities insured by our customers. We want you to understand what information we collect and how we use it. We gather information from our clients (underwriters), and their applicants and customers to provide third party verification and gathering of information used in the underwriting decision making process.  To learn more about the process, see “What we do.”

Our Information Security Procedures

We take the following steps to safeguard your information:

  • We restrict access to your information to those employees and clients who need to know your information to provide products or services to you.

  • We maintain physical, electronic, and procedural safeguards that comply with federal standards to guard your information.

  • Information is gathered is for underwriting purposes only.  A report is written for the exclusive use of our client companies and is not sold or shared anywhere else.

  • Reports are archived forever electronically, but any physical components (paper, field notes, paper photographs) relating to files are shredded after one year.

Our Information Verification Procedures

Our Customers: We maintain client information about our customers as it relates to business flow, reporting, and billing.  Names, addresses, email addresses, phone numbers and titles are maintained for the function of business relations.  This information is never shared with anyone outside our company for any reason.

The insured:  We conduct field services for our client insurance companies, specifically, but not limited to, inspections, for the purpose of our clients making underwriting decisions.  These inspections are performed both physically in the field, and/or from our office via telephone interview, or a combination of methods.  The method used depends on program, or type of coverage, and previously agreed upon parameters with our client companies.  A unique record is created in our database for each specific case; it is assigned to an inspector; information is gathered, it is assembled together in a report, and the report is emailed to the client company in an Adobe .pdf format.  To learn more about the process, see “What we do.”

What Information We Collect

We may collect the following types of "nonpublic personal information" about you (the insured) from the following sources:

  • Identifying Information - information we receive from you such as name, address, telephone number, e-mail address.

  • Application Information - information you have previously provided on an Acord form, such as type of business, description of building, projected gross receipts or payroll.

  • Third Party Information - information we receive from third parties (credit bureaus and other data providers) such as your relationship history, credit histories and credit scores.

"Nonpublic personal information" is information about you that is generally not publicly available and that we obtain in connection with providing a product or service to our client for you to obtain or maintain insurance coverage.  To learn more about the process, see “What we do.”

What Information We Disclose *

We disclose the nonpublic personal information we collect about you to our client (insurance underwriter) for the purpose of that company or companies offering their products or services to you. We do not disclose this information to anyone else.   We do not have relationships with any other service providers or companies that perform other services or perform marketing.  To learn more about the process, see “What we do.”

  • Your information is not sold to anyone other than your insurance company, with whom you have a contractual relationship.

  • You will not hear from any other company or individual as a result of information or report we compile about you, other than the company who is offering you coverage. 

  • We do not send you promotional offers by mail, telephone, or e-mail.

  • We do not sell your contact information to anyone.

Information Disclosed in Other Circumstances

We may share information with "Affiliates" and "Non-Affiliates" as permitted by law in other appropriate situations, such as:

  • With credit bureaus or other similar reporting agencies;

  • With regulatory agencies and auditors;

  • When we might sell or merge parts of our business; and

  • As required or allowed by law (e.g. subpoenas).

Protecting Consumer Privacy on the Internet

When you visit our site, we collect and store only the following information: your requesting IP (Internet address); the type of equipment you used to access our site (PC, Macintosh, WebTV, etc.); the type of browser you used (Internet Explorer, Netscape, etc.); the date and time of your visit; and any links or URLs you may have used to access our site.

We use this information to learn more about how many people visit our website, how they accessed our website, how our website is utilized, and to help us make our website more accessible and useful for future visitors.

When visiting our website, you may also choose to provide us with personally identifying information. This is done when you apply for one of our products or when you enroll in one of our services. We will use the information you provide to evaluate your application and/or to enroll you in the service you request.

We keep your information secure. When you provide information to us, it is sent through a "secure session" established with Secure Socket Layer (SSL). This technology protects your information while it is transferred over the Internet. Our systems protect your information from access by others using industry standard encryption and security technologies.

It’s Your Choice

We believe you should have the right to choose how we manage your information and how we communicate with you. You have the following choices:

  • Normally this is where credit card or other financial companies give you the right to opt out of promotional activities and offers.  We are not involved in these activities and do not share your information except as outlined above (to your insurance company and as required by law).

  • You may refuse to be inspected and refuse to give us any information.  Please be aware that this may affect your continuation of coverage, as the information we provide is an important part of the underwriting decision-making process.  We will report your refusal to the insurance company and they decide future events.  For more information on this topic, please see section If the inspection is refused  under “Description of Operation”

The most current privacy statement and all customer choices will apply to all closed or inactive accounts. We may update our Privacy information periodically. Updated version will be posted online. We will continue to honor any previous directions you have made regarding information disclosure and contact.

*All 50 US states, but particularly North Dakota (ND), and Vermont (VT) residents: We do not share your non-public personal information with Affiliates or Non-Affiliates except as allowed by law.  All 50 States, but particularly residents of Montana: in situations where state law is more protective of individuals than federal privacy law, we will protect your information in accordance with state law.

This is our national statement of our privacy policy.  It does not apply to Canadian or Mexican customers.
